Conducting Research at Brescia

To help researchers plan and implement projects at Brescia, including the development of research ethics applications, information on recruitment processes and procedures for accessing data sets are included below.

A reminder that all recruitment processes developed for specific projects with human participants must be included in applications submitted to and approved by the Brescia Research Ethics Board.

Processes for Recruiting Participants for Research

Will researchers want to distribute research recruitment requests to various groups on Brescia’s campus?

It is possible to send recruitment invitations (e.g., email invitations; announcements on OWL sites)  to varied groups on campus using varied methods. Contact the Provost's Office in advance for information on this process and to discuss timing. 

Will researchers want to create specific lists of Brescia students using customized criteria in order to email recruitment invitations?

It is possible to send recruitment invitations to students that fit specific criteria (e.g., students enrolled in specific classes, specific years of study, specific modules, specific disciplines, specific schools). Contact the Registrar in advance to discuss the criteria required. At minimum, one-week advance notice is necessary for developing the lists. 

Will researchers want to contact Brescia alumnae with invitations to participate in a research study?

If researchers are interested in recruiting Brescia alumnae as research participants for your project, contact Alumnae Relations and the Provost's Office for information on the process early in the project development stage. Long timelines are advised for the planning process, and the timing for sending email messages to alumnae will be assessed on a case-by-case basis by Alumnae Relations.

Will researchers want to have a third-party who is not part of the research team send recruitment invitations or facilitate an incentive draw?

The Research Officer is one example of a third-party  who is able to send recruitment invitations or run an incentive draw. Contact the Provost's Office in advance for information on this process or to discuss other possibilities. 

Will researchers want to post physical posters or announcements on the video screens to recruit participants for research on the Brescia campus?

To post recruitment materials, such as posters on campus or recruitment announcements on video screens, send copies of materials to and wait for approval by Brescia Communications before posting to any bulletin boards or video screens (materials will be previously approved by the BREB). Researchers should inform Communications if information needs to be posted verbatim or if edits can be made.

Physical posters cannot be placed anywhere besides bulletin boards on campus; see the Poster Policy for more detail. Additionally, all physical posters are the responsibility of the individual and must be posted and removed from bulletin boards in accordance with the dates outlined to Brescia Communications. 

Please be aware that not all bulletin boards are managed through Brescia Communications. Faculty/Division or BUCSC bulletin boards are managed by their respective departments, and are only to be used with their permission. 

For graphics designed for the video screens: all images should be submitted in horizontal format, with minimal text. Suggested best practices for images are to only include the most relevant information (e.g., Initiative, Date, Time, Contact Info) and simple/clean graphics. For design specifications, the video screen size is 1080 x 1920 px. 

At minimum, two-week advance notice is necessary for organizing Communications approvals and finalizing scheduling. 

Will researchers want to use official Brescia social media accounts for research recruitment?

Researchers are to submit requests to post to Brescia’s social media account(s) using the online Megaform. Megaform submissions should be detailed, as it helps to accurately convey the information. Materials will be previously approved by the BREB and researchers should inform Communications if submissions must be posted verbatim or if edits can be made. Hashtags are recommended, where possible.

For graphics designed for social media posts: all images should be submitted in horizontal format (unless posting to Instagram stories), with minimal text. Suggested best practices for images are to only include the most relevant information (e.g., Initiative, Date, Time, Contact Info) and simple/clean graphics. All other information can be written into the post narrative. 

Please be aware that Brescia Communications rarely posts promotional posters to the University’s Instagram account. If hoping to include Instagram in your promotions, please consider providing a high quality photo, which complements your poster and initiative. 

At minimum, two-week advance notice is necessary for organizing approvals and finalizing social media scheduling. 

Processes for Accessing Data Sets at Brescia

Will researchers require access to data held within other Brescia units, specifically relating to students?

It is possible to access information relating to details such as course grades, cumulative grades, high school grades, municipality/province of residence, international / domestic student status, admissions information, demographic data, historical transcript information, etc.  Contact the Registrar for a discussion on what can be released and how long requests may take.         

Long timelines are advised for the planning process, and these requests will be examined by the Registrar on a case-by-case basis to ensure that student identity is not compromised with the release of data. Permissions may also be required through the Brescia Research Ethics Board.
